The Challenge

A growing food delivery company was managing customer orders through email and Excel. Every order required manual data entry, and multiple agents often reviewed the same messages.

The process slowed the team down as order volume grew. A dispatcher had to retype order details, check if another teammate had already handled the email, and update spreadsheets again when a customer changed an order.

Technical approach

The system used Laravel and MySQL. It integrated with e-commerce APIs for order import, Stripe for payment processing, and SendGrid for customer emails.

Each inbound order used the platform's external order ID as a unique reference. That prevented duplicate records during retries and repeated imports.

Rollout

The team migrated spreadsheet data over three months. During a parallel-run period, imported orders were reconciled against the old spreadsheets before cutover.
